(1) Administrative Assistant
Job Summary:
The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. This position is located at Maximum Legal Services Corporation (MaxCorp), a Hawaii non-profit corporation located in downtown Honolulu. This is a full-time position. In person attendance during office hours (Monday-Friday, 8:30 a.m.-5:00 p.m.) is a requirement for this position.
Supervisory Responsibilities:
- May direct the work of clerical employees in lower job classifications.
- May assist in training newly hired clerks and secretaries.
Duties/Responsibilities:
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients; prepares the conference room for in person meetings.
- Retrieves, sorts, and scans mail and distributes mail to the appropriate persons in the office.
- Maintains filing systems as assigned, including but not limited to permanent client files, court pleadings files, correspondence files, client financial files, and other administrative files.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, court deadlines, other deadlines, and appointments for managers or supervisors.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment, including off-site storage and shredding.
- Maintains a system for recording expenses and the use of petty cash.
- Travels to/from the court, banks, other offices, etc. for pick-up/delivery of documents.
- Performs other related duties as assigned.
Required Skills/Abilities:

- Meets with attorneys, clients, and other professionals to discuss assigned cases or projects.
- Drafts legal documents including routine pleadings and motions, affidavits, and declarations; files motions and pleadings according to judicial procedures.
- Researches and analyzes statutes, regulations, legal articles, judicial decisions, and other legal sources; provides written analysis to attorneys.
- Interviews clients and other interested persons and prepares summaries of their statements.
- Prepares, organizes, stores, and retrieves case files, which may include evidence, exhibits, depositions, pleadings, exhibits, and other items.
- Assists attorneys with court preparation, which may include attending meetings and hearings.
- Develops and maintains records regarding billable hours spent on specific cases.
- Monitors changes to government guidelines or regulations and submits reports on pertinent changes or updates.
- Performs other related duties as assigned.
Required Skills/Abilities:

- Associate degree in Paralegal Studies or related field required; Bachelor’s degree in Paralegal Studies or related field preferred.

- Records numerical and financial data to produce financial records.
- Ensures financial data is entered correctly and accurately.
- Enters journal entries to debit and credit the company’s client accounts.
- Generates accounting and audit reports for cash receipts, accounts payable and receivable, expenditures, and profits and losses.
- Reconciles and reports differences or issues found in financial records.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Knowledge of generally accepted accounting principles (GAAP) and financial data analysis.
- Ability to use accounting software (i.e., Quickbooks) to record, store, and analyze financial data.
- Ability to efficiently operate a 10-key calculator or equivalent and other related office equipment.
- Proficient in Microsoft Office Suite or similar software.
- Knowledge of administrative and clerical procedures.
- Excellent written and oral communication skills.
- Ability to maintain high standards of confidentiality in handling sensitive information
- Ability to manage several deadlines at once and complete them successfully.
- Ability to work independently and also collaborate with other staff.
- Any and all other related qualifications as reasonably determined by the supervisor.
Education and Experience:
- High school diploma or equivalent required; Associate’s degree with accounting coursework preferred.
- At least three years of bookkeeping experience required, preferably in the financial industry.
